Privacy Policy — Traxware Print

This Privacy Policy explains how Traxware s.r.o., IČO 08640394, VAT ID CZ08640394, registered office Járy Cimrmana 178, 251 63 Kunice – Vidovice, Czech Republic (“Traxware”, “we”), processes personal data in connection with traxware-print.com, inquiries, quotations and orders.

1. Data we may collect
Depending on how you use the site, we may process:
- name and contact details;
- company name, country, VAT ID and billing/shipping details;
- email address and telephone number;
- inquiry text and correspondence;
- project requirements, dimensions, operating conditions and requested quantities;
- uploaded CAD/mesh files, drawings, photographs and documents;
- order, quotation, invoice and payment-status information;
- shipping and delivery information;
- technical security logs such as IP address, timestamp, request metadata and anti-abuse information;
- language preference and cookie/consent preferences;
- complaint, warranty or dispute correspondence.
Please do not upload unnecessary personal data, medical records, patient information, biometric information or other special-category personal data.
2. Why we process data and legal bases
Inquiry and quotation
We process contact details, project information and uploads to answer your inquiry, assess feasibility, prepare a quotation and take steps requested before a contract.
Legal basis: Article 6(1)(b) GDPR — steps at your request prior to entering into a contract.
Performing an order
We process data needed to manufacture, communicate, invoice, ship, handle changes and support the order.
Legal basis: Article 6(1)(b) GDPR — performance of a contract.
Accounting, tax and legal obligations
We retain invoices and information required by applicable accounting, tax and other legal rules.
Legal basis: Article 6(1)(c) GDPR — compliance with legal obligations.
Security, fraud prevention and legal claims
We process limited logs, correspondence and order records to protect the website, prevent abuse, establish or defend legal claims and maintain business records.
Legal basis: Article 6(1)(f) GDPR — our legitimate interests in security, fraud prevention, evidence and protection of legal rights.
Analytics or marketing
At phase-one launch we recommend operating without non-essential analytics or advertising trackers. If we later introduce consent-based analytics or marketing technologies, they will be activated only where the required consent has been obtained.

We do not sell personal data.
3. Project files and photographs
Project files are used only as needed to evaluate, quote, manufacture, inspect, rework, deliver or support your requested work.
We do not use customer project files, CAD models or photographs in public portfolios, advertising or training material without separate permission.
If your files contain confidential commercial information, ask for an NDA before uploading them.
4. Who receives data
Data may be made available only as necessary to:
- authorized Traxware personnel and contractors;
- website, cloud-storage, email and security providers acting as processors;
- accounting/tax service providers;
- payment providers, if used;
- shipping/carrier services where delivery is requested;
- legal or professional advisers;
- public authorities where disclosure is legally required.
The exact provider list may change as the service is implemented. This Policy must be updated before a new provider materially changes the processing described here.
5. International transfers
We prefer providers processing data in the EU/EEA.
If a service provider processes personal data outside the EU/EEA, we use a legally recognized transfer mechanism where required, such as an adequacy decision or Standard Contractual Clauses, together with additional safeguards where appropriate.
6. Retention
Unless a longer period is required by law or needed for a dispute:
- unsuccessful inquiry/contact data: normally up to 12 months after the last meaningful contact;
- abandoned or rejected uploaded project files: normally up to 90 days after closure of the inquiry;
- production/CAD files connected with completed orders: normally up to 36 months to support repeat manufacture, quality questions and traceability, unless a different period is agreed;
- order and contract correspondence: normally up to 5 years after completion where reasonably needed for contractual/legal claims;
- invoices and statutory accounting/tax records: for the period required by applicable law, commonly up to 10 years;
- security logs: normally up to 30 days, longer where needed to investigate abuse or a security incident;
- cookie/language preferences: as described in the Cookie Policy.
We may retain a minimal record longer where necessary to document a deletion request, opt-out, legal hold or resolved dispute.
7. Your rights
Subject to the GDPR and applicable limitations, you may have the right to:
- access your personal data;
- correct inaccurate data;
- request deletion;
- restrict processing;
- receive certain data in a portable format;
- object to processing based on legitimate interests;
- withdraw consent at any time where processing is based on consent, without affecting earlier lawful processing;
- lodge a complaint with a supervisory authority.

8. Automated decision-making
We do not make decisions producing legal or similarly significant effects solely by automated processing.
Automated validation may reject malformed contact details, dangerous file types or obviously abusive submissions. Safety-critical inquiries may be automatically routed for manual review, but acceptance of manufacturing work is not decided solely by such automation.
9. Security
We use reasonable technical and organizational safeguards appropriate to the service, including access control, private storage for uploads, encrypted transport, server-side validation, anti-abuse controls and restricted access to project data.
No internet service can guarantee absolute security. Do not send unique secrets, credentials or data unrelated to the manufacturing request.
10. Children
The service is intended for persons capable of entering into the relevant transaction. We do not intentionally collect data from children for marketing or profiling.
11. Changes to this Policy
We may update this Policy when the website, providers or legal requirements change. The current version and effective date will be published on the website.
